Prepend text in subject line for exchange 2016

I created a rule on our exchange 2016 server that would add [EXTERNAL] to any email that comes in from the outside so people know the difference between internal and external email using the Prepend the subject of the message with...

However, the issue we are running into is on the first message we get it shows [EXTERNAL], if the customer replies back to that message it then shows up as [EXTERNAL] RE:[EXTERNAL] and will keep showing external everytime the outside email address replies back to the email. Is there a way so that it only attaches that once and then every other reply from that person it does not continue to add [EXTERNAL] to the incoming emails?


Outlook Inbox view suddenly changed and can't reset to how it was

My Outlook Inbox view suddenly changed the last time I opened Outlook (using Office 365 ProPlus, version 16.0.6001.1034).  

I tried resetting the view, but that changed it to something other than what it used to be.

The view in my Sent folder is what I'd like the Inbox to be. I tried saving that view as a new view, then applying it to the Inbox, which got me close to what I wanted. however, all emails were displaying in order of who they were sent to, rather than who they were from.

Here's what it looks like now. I've outlined in red things that have changed. My "sort by" dropdown has disappeared (top-left blank area, as has the "Newest/Oldest" text and sorting arrow. Anew line of icons has appeared beneath the Search field, and the font size of the sender and subject of the message have changed--they used to be on 2 lines, now they're on one line and the font size is smaller.

And here's what my Inbox USED to look like, which is how I'd like to get it back to (this is now how my Sent folder appears):

As noted, I tried creating a view of the Sent folder, then apply it to my Inbox folder, but that caused all emails to display by "Sent To" as the default view rather than Sent From, and I couldn't get that to change and stick each time I'd close and relaunch Outlook.

I'm baffled. I've tried restarting Outlook, running Quick Repair on Office 365, rebooting the computer, launching Outlook in Safe mode, messing with the View...nothing has allowed me to reset my Inbox to how I'd like it to be.

Any ideas for anything else I can try? Thanks.



Outlook 2010 Cannot open meeting item "(meeting name)" You do not have appropriate permissions to perform this operation

Hello All, 

I am looking for some assistance with outlook 2010. I have a user that receives metting invites created from our webex plugin. When the user receives the invites it gives him the following error: Cannot open meeting item "(meeting name)" You do not have appropriate permissions to perform this operation.

I attempted to troubleshoot the issue. I started his outlook in safe mode and he was able to open it without the error, so I was thinking an add-in was causing the issue. I disabled the add-ins one by one and the issue still occurred. I also found that he only gets the error when it is unread and he tries to open it the first time. If it has a status of read he can open the invite without issue, but as soon as you mark it unread again it presents him with the same error. 

Again this only seems to happen with meetings scheduled from Webex Teams add-in. The error does not occur on a newer version of outlook such as O365. Nor does it occur when scheduling meetings with the user outside of the webex add-in. Any assistance would be greatly appreciated.

Signature Issue

re Outlook 2013- When I create an email and go to signatures to select a signature, there for four selections.   Only two are valid.  When I go to settings to manage signatures only the two valid signatures are shown.  How do I get rid of the two invalid signatures?   If I try to select one of these signatures when creating an email there is no response.

Outlook 2013 does not display category colors in list view

I use Outlook 2013 with a Microsoft Exchange email account.  In my Tasks folder, I use the Categories field to color-code my tasks.  In Outlook 2010 the color and category name showed up in list view, but in Outlook 2013 only the category name is shown.  Is it possible to show the color too?

Cannot open room calendars in Outlook App on Android phone

Both myself and my fellow sys admin cannot open any room calendars as shared calendars in the Outlook App for Android. Only Equipment calendars can be opened. The room calendars do show with no problem in OWA. But when we go to add a shared calendar in the Outlook App on our phones, it will not list any room calendars regardless of whether they are showing in our list in OWA or not.

Most of the calendars just have calendar rights set on them and no one is delegated access to the entire mailbox. But even a room calendar where we have full rights to the entire mailbox will not show up in the Outlook App when we go to add a shared calendar. Our email is on Office 365 (we do not have Exchange on premises).  

Clear recent search cache

Is there any option in Outlook to remove the recent search history completely? I have tried to follow suggestions in other threads and deleted the 101f0445 key in regesty editor, but it didn't work for search histories showing up under the instant search bar when I typing keywords in the box. Any reason why the search history there cannot be deleted? How can I clear the annoying cache?

Forwarding an email to a recipient then moving it

Hello,

I am currently having trouble setting up a rule where I would like the following to happen, 

1. Any email received with the subject containing "123" gets forwarded to a specific recipient "J.Citizen"

2. Any email received with the subject containing "123" gets moved to a specific folder "123"

Part 2 always happens but Part 1 doesn't

When I set up the run and select "run rule on messages already in inbox" then parts 1 and 2 both happen

 Any ideas?

Outlook 365 Rule not running automatically

I've browsed countless of content to find a solution, but I just can't seem to find it. 

I work at helpdesk for a big company, so we have company exchange accounts through office 365. (I am logged on with my private mail though)

Anyway, I'm trying to help a user who have all these rules. They are supposed to mark mails with keywords as read and move them to another folder. They used to work perfectly until about 1 week ago when 4 of her rules just stopped working automatically. They only work if we manually press "Run rules". The rest of them works fine. 

- We have removed the rules and recreated them. (Nothing happened)
- We did a reset on the outlook.srs file. (This makes it run automatically once, but stops working again after that)
- I found an article about changing OST to PST and disable cached exchange mode, but this didn't work either.
- She switched to a brand new computer (the old one was switched anyway) and the issue occurs on the new one aswell. 

I'm in a bit of a pickle and don't really know what to do. Please help me! :)

Hello,

I switch to the new design to give outlook a new try as my daily mail tool but I can't view my gmail contacts / addresses. My partner working also with the new design and of course with gmail as email provider and it works. Anyone an idea to fix it?

Outlook Office 365 on prem login pop-ups throughout the day

Around  a week ago our users started reporting that they were getting random login pop-up messages throughout the day. Entering the correct credentials resulted in the pop-up happening a number of times before it finally is happy. If the user instead hits cancel, a message appears at the bottom of the Outlook client indicating "Need Password." If the user clicks on the Need Password message, Outlook removed the message, flips to a status of connected and inbound messages start coming in again.

We checked the event logs on the client computers where Outlook runs and there were no errors or related events. We also looked on the on-prem Exchange server and could not find anything related to the problem. 

This is becoming a real pain. Any suggestions?


OWA buttons dosent work.

Hello.

My question is:  we'v got exchange 2013.

Suddenly nearly all of the buttons in OWA became unusable: you press em and nothing happens.

If you look up in owa page code you'll see: 

Application Cache Error event: Manifest fetch failed (440) https://owa.in-line.ru/owa/manifests/appCacheManifestHandler.ashx?owamanifest=1

What was all ready done: clear cache, clear canary data (ad).

Now we'v installed exchange 2019 and migrating to it.

OWA is not pointed to old CAS server: only to new exchange server.

In that case OWA version should be:

https://owa.domain.com/owa/prem/15.2.494

But in code i can still see owa 2013 version.

https://owa.domain.com/owa/prem/15.0.1497.2

But none of the clients pointed to 2013!

Same thing with ouutlook anywhere (rpc): none of the cliens are pointed to 2013 but tries to connect to some 15.0.1497.2 service and fails.

RPC itself was broken (for any users outside our local network), but after installing exchange 2019 and pointing all connections to new cas server RPC connection became normal with version  15.2.494.

2 days later it broke again and trying to connect to old version 15.0.1497.2.

Old 2013 cas server is still online but none of the connections pointed to it.

It turned off in load balancer.

So there a 2 main questions: why and how owa is stil in old version (and rpc) and how to force em to use new 15.2 version ?

Schedule View Outlook 2010 - Month View?

Hi,

I want to have a simple way of viewing a teams (5 people) calendar to see if they are free or busy on a particular day, or few days within a month.

I have recently created a group in Outlook 2010 of the 5 people in the team and can view their calendars. No problems yet.

The problem is that I dont want to view down to the hourly level of detail - I want to be able to see a daily overview, having the calendar in a 'month' view.

Is it possible to have the Schedule View, in the 'month view' format? rather than the hour by hour format it is by default?

Outlook 2016/Exchange 2010 - keeps prompting for credentials

I have a user, running Outlook 2016, that suddenly is getting prompted for credentials.  This happens a minute or two after launching outlook, and then re-occurs every few minutes.  Outlook has been updated, there are no saved outlook credentials in credential manager, a new profile has been created and the prompts continue.  The strange part is that you don't need to authenticate, you can click cancel, and outlook continues to send and receive mail as normal, then several minutes later, the credential prompt pops up again, cancel and repeat.

Shared mailbox - print name in header

Hey,

We have some users who have access to a shared mailbox. These users have full permissions (based on a group, not direct user permissions) to the mailbox and have them added manually into Outlook as a full account, so have access to the Archive mailbox too.

This way, when emails are printed that are in the shared mailbox, the header has the shared mailbox name, rather than the current user's name. How do we change this behaviour?

What is interesting, is that if I set user permissions to the mailbox rather than groups, Outlook obviously auto-adds the mailbox, and this way it shows the current user's name in the print header. Also, if I add the mailbox as an additional account, the current user's name shows but they then lose access to the Archive mailbox.

Bit of a weird one this! Typical MS!

Hi Support,

We are using outlook 2013 as a POP account.

I have attached outlook backup screenshot for your kind reference.

The outlook backup shows as GMS and i want to know whether this backup will work.

The system is crashed and i have taken outlook backup and it is in this format.When i export /import to outlook,whether this outlook backup file will show all the old emails in outlook of the new system.

Your immediate response is highly appreciated.

Outlook needs password but dialog box disappears

Hello, 

I am currently troubleshooting an ongoing issue where Outlook stops working and a prompt reads "Need Password" at the bottom of the Outlook window. Typically, clicking this text would give you a prompt to login to your Office 365 account. However, when clicking the text, the window opens and then closes itself within half a second. I expect the "Need Password" prompt would only appear if there was a password change to the linked account but that is not the case. 

I've tried quite a few fixes online and none of them seem to work. 

  • Disconnect the associated account in Windows and restart the machine.
    - After doing this and trying to open Outlook, the password dialog box opens prompting you to enter your credentials. Once entered, Outlook connectivity resumes.
  • Running Outlook in safe mode
    - This does not help the problem as it is also visible while in safe mode. 
  • Editing the registry and adding (EnableADAL & DisableADALaptopWAMOverride) entries.
    - This fix requires you to modfiy the following path: HKEY_CURRENT_USER\Software\Microsoft\Office\16.0\Common\Identity with the two entries mentioend above. EnableADAL should be set to 0 and DisableADALaptopWAMOverride to 1. Both of these entries do not solve the issue.
  • Uninstalling & Reinstalling
    - After I uninstalled / reinstalled Office 365, the issue appears to be okay at first. A few days go by and the issue returns. 
  • Restarting
    - Restarting the machine seems to fix the problem temporarily. However, I've had a few instances where continuous restarts would not fix the problem. 

Any help would be appreciated as I have contacted Office 365 support and this leads to absolutely no where.
